Responsibilities
As an Administrative Assistant in the Construction Division, your main responsibilities will include:
- Administrative Support: Provide day-to-day clerical and administrative assistance to managers, engineers, and department staff.
- Scheduling & Calendar Management: Maintain the Managing Director’s and engineers’ agendas, plan appointments, and coordinate board meetings.
- Meeting Support: Attend meetings, take accurate minutes, and follow up on action items.
- Communication Management: Receive and screen phone calls, redirect inquiries appropriately, and handle all incoming and outgoing correspondence, including emails, letters, and packages.
- Document Management: Organize, maintain, and secure both electronic and paper records for easy access and retrieval.
- Financial Assistance: Prepare invoices, assist in bookkeeping, and support basic financial reporting.
- Construction Oversight: Monitor contractor drawings, ensure quality control compliance for all construction projects, and maintain records of installation.
- Project Monitoring: Evaluate contractor payment applications, recommend changes if necessary, and supervise efficient execution of instructions.
- Problem Solving: Research issues, solve problems independently, and maintain smooth office operations.
This role is vital in ensuring that all construction projects run efficiently, documentation is accurate, and communications are well-coordinated.
Qualifications
We are looking for candidates who meet the following qualifications:
- Education & Experience: 2–3 years of administrative experience in a construction or real estate company is preferred. Fresh graduates with a strong willingness to learn are welcome.
- Technical Skills: Proficient in MS Office Suite, including Word, Excel, PowerPoint, and Outlook. Basic accounting knowledge is a plus.
- Organizational Skills: Strong ability to organize documents, prioritize tasks, and meet deadlines.

Average Salary
